This article explains how to create and manage reusable Custom reports with configurable data in Promote.
What’s in this article
Overview
In the Reports tab in the Global menu, navigate to 'Custom reports'.
This central view shows all the Custom reports available for your site, making it easy to locate, manage, and create reports.
Additional sort options and actions
- Use the search bar to look up a specific report configuration
- Click column headers to sort the list
- Underneath Actions, you can view generate and preivew, or delete the report.
Access permissions
To create and generate these reports, an admin needs the new permission “Manage custom reports.” If you would like to use this feature, please request access from your super admin. Learn more about admin permissions and how to enable them for a user here >
How to create a custom report
Click New configuration to start creating a reusable report.
Fill in the Configuration details:

Title
This is the internal name shown to admins. -
Description
A brief description displayed in the overview. -
Report type
Choose from one of the available report types:Admin permissions – Track administrative access and roles.
AI assistants data – Monitor AI-supported interactions and outputs.
Coach data – Review coach activities and engagement.
Facilitator data – Understand facilitator involvement and impact.
Goals progress – Track progress toward program objectives.
Learner data – Analyze learner participation and performance.
Program comments – Capture qualitative insights from participants.
Program summary – See an overview of program performance.
User qualifications data - Review qualifications data. Read more about qualifications here >
User data – Access detailed user-level information.
3. After selecting a report type, you can choose program/s, select time zone, and pick which fields to include (like User information, Program information, or Conversation details).
4. Click Save to create the report.
The report data will appear directly in Promote. You can also export it as a CSV file for use in other tools, such as your preferred BI software, for further analysis or visualization.
