This article explains how reminders work in Promote, how they apply to learners, coaches, and facilitators, and how admins can disable them.

How reminders work
Automatic reminders
Automatic reminders are enabled by default for all programs. A reminder is sent for any task with a due date if it remains unfinished.
As an admin, you can control when reminders are sent:
Day before due date – A reminder is sent at noon the day before the task is due.
Day after due date – A reminder is sent at noon the day after the task is overdue.
You can enable one or both options to best suit your program’s needs.
💡 Note! Only one automatic reminder is sent per task for each selected option. Even if the task is never completed, the learner will not receive multiple automatic reminders for the same due date.
Additional reminders
In addition to the standard automatic reminders, you can also configure an optional additional reminder for individual tasks. Additional reminders are configured per task and allow you to send an extra reminder to learners ahead of the due date.
The additional reminder can be configured either:
- A set number of days before the due date
- On a specific calendar date
These reminders are sent in addition to the standard reminders and do not replace or affect the existing reminder schedule.
Additional reminder settings are automatically copied when:
- a program is copied
- modules, assignments, or tasks are imported
How to set an additional reminder in the builder
Additional reminders are configured in the task settings panel in the program builder.
- Go to the program and click the Builder tab
- Open the task you want to configure
- Click the Due date tab in the task panel
- Set a due date
- Toggle on Set additional reminder
- Set the reminder timing using one of the following options:
- Use days before due date - enter the number of days before the task's due date the reminder should be sent. If the due date is changed, the reminder is automatically adjusted
- Use calendar - select a specific date on which the reminder should be sent
- Click Save
💡 Note! The additional reminder can only be set before the task's due date. The timing fields are hidden when the additional reminder toggle is off.
Reminders for learners
When a reminder is triggered, learners receive both an in-program notification and an email notification. Additional reminders are sent alongside the standard reminders and do not replace or affect them in any way.
- Additional reminder - sent at the time you configure, before the due date
- Standard reminder - sent the day before the task is due
- Overdue reminder - sent when the task becomes overdue
Reminders for Coaches and Facilitators
Coaches and facilitators receive reminders when there are upcoming or overdue Coach Approve or Facilitator Approve tasks that require their review. If a task is still awaiting a learner’s action, only the learner receives the reminder.
This ensures that reminders are always sent to the person responsible for taking the next step.
Disable reminders
Go to Admin.
Search for and open the program.
In the program’s Settings, locate the reminder options.
Untick the options to disable reminders.
Click Save changes.
