This article explains how you can provide program access to users without sending email invitations. Learn how to enable this option, how it affects notifications, and how to manage access for both existing and new users.
When to Use Program Access Without Email Invitations
Sometimes sending an email invitation might not be the ideal way to provide users with access to a program. For example, you may want to give existing users access to additional, optional programs without requiring an invitation.
To make this easier, you now have the option to allow program access without sending an email invitation. This can be set in the program's settings.
How It Works
With this option enabled, you can add members to the program as usual, and when users sign in to Promote, they will see all the programs they have access to, whether they’ve been invited via email or are accessing programs without an invitation.
Program Notifications
Members who access programs without an invitation won’t receive any notifications from the program until they visit it for the first time. Once they’ve accessed the program, they will start receiving notifications as usual, just like users who receive email invitations.
Can I Still Send Invitations?
Yes! You can still send invitations to a program that allows access without invitations. If you send an invitation, the user will receive notifications for the program from that point on, just like any other invited member.
Program Access Without Invitation for New Users
If you want to use this option for new users who have never visited Promote before, you can do that as well. For instance, you might share a link to Promote on your website or intranet, allowing users to sign in and see what programs they have access to.
Steps for New Users:
-
Add the User to Promote
To give new users access without sending an invitation, they need to be added to Promote and assigned to the relevant programs. Learn how to add members here >

First Sign-In to Promote:
New users will need to set a password or use Single Sign-On (if available) to sign in. Typically, this is done when receiving the first program invitation, but in this case, they’ll need to set it manually.
How to Set a Password: If a user hasn’t received an invitation, they can set a password by clicking the “Can’t sign in?” link on the login page. They’ll receive an email to reset their password and gain access to Promote.
Simplifying First-Time Sign-In:
To make it even easier for new users, you can share a direct link to the "Restore Access" page, such as:

Please note: Sharing this link simplifies the sign-in process for new users. However, it may confuse existing users who don’t want to change their password, so consider carefully which option is best for your situation.
